There are basically four main stages in implementing the EDAMS system (a) Requirements Definition and analysis, (b) Data Conversion (c) System Development, Setup and Configuration and (d) Training, prior to going live with the new system.
- A Requirements definition document will be forwarded to the Organisation to be filled in. The document will include an operational review with regard to people, structures, IT systems, policies & procedures and data availability in the commercial department of the organisation.
- Once returned, Hydro-Comp personnel will use this document to carry out a gap analysis between current business processes, best practices and the systems offered. Analysis of existing report and forms and design of reports and forms to accommodate the proposed systems will also be carried out together analysis of current and historic data and drawing up of specifications for the importing and/or conversion of legacy data to the proposed systems.
- Based on the findings of this analysis Hydro-Comp will provide the Organisation with a requirements definition document together with recommendations of procedures and job descriptions to be adopted by the Organisation. At this stage the Organisation will also be sent a quotation by Hydro-Comp for proceeding with the implementation of the system.
- complex implementations the Organisation might require assistance from Hydro-Comp personnel in completing the requirements definition document. In such a case Hydro-Comp system consultants will travel to site to assist and carry out this exercise.
